The business relies on digital tools such as Google Drive, ClickUp, and scheduling platforms to coordinate workflows, manage contractors, and maintain secure operations. As the company scales, they are strengthening their operational infrastructure to reduce inefficiencies and improve reliability across all processes.
Schedule

Responsibilities
Systems & Workflow Management
- Maintain and organize Google Drive structure, including folder architecture, naming conventions, and permissions
- Ensure secure and efficient file sharing across distributed teams
- Maintain and update ClickUp boards, tasks, automations, and deadlines
- Monitor workflows to ensure tasks, documents, and processes are completed without gaps
- Escalate issues or blockers to the Director of Operations when needed
Forms, Data & Documentation
- Build and manage forms using Google Forms and Jotform
- Ensure form responses are properly routed into Google Drive and tracking sheets
- Maintain accurate operational trackers, reports, and records in Google Sheets or Excel
- Provide document support including PDF editing and preparation using Adobe tools
- Document and update SOPs and internal process documentation
Scheduling & Coordination
- Manage calendars and scheduling using Outlook, iCal integrations, and Calendly
- Coordinate meetings, onboarding sessions, and training events
- Ensure scheduling systems remain organized and conflict-free
- Support onboarding workflows and ensure all steps are properly tracked
Communication & Operational Support
- Maintain communication channels across email, Signal, and other messaging platforms
- Support coordination between internal teams, contractors, and leadership
- Assist with general operational and administrative tasks across multiple platforms
- Create simple internal visuals or presentations using Canva when needed
Data Management & Compliance
- Process and manage sensitive data across secure, cloud-based systems
- Support invoicing coordination and payroll verification processes
- Manage contract workflows including document collection and organization
- Ensure accuracy and compliance when handling financial and personal data
- Maintain clean, organized personnel and operational records
Process Improvement & Optimization
- Identify inefficiencies and areas for improvement across systems and workflows
- Provide recommendations to the Director of Operations
- Implement approved process improvements and system enhancements
- Continuously improve workflow clarity, data accuracy, and operational efficiency
Requirements
- 3–5 years of experience in operations, data management, or administrative systems roles
- Strong proficiency with Google Workspace (Drive, Sheets, Forms) and Excel
- Experience with ClickUp or similar project management tools
- Comfortable working in fully remote, cloud-based environments
- Strong attention to detail and ability to maintain organized systems
- Experience handling sensitive financial or personal data securely
- Ability to manage multiple workflows and priorities simultaneously
- Strong communication and problem-solving skills
- Ability to work independently while following structured processes
Highly Regarded Skills & Experience
- Experience with Jotform, Calendly, and scheduling systems
- Familiarity with Mac environments and cross-platform workflows
- Experience with Adobe tools for document management
- Understanding of workflow automation and system integrations
- Experience working in compliance-focused environments (SOC2, HIPAA, or similar)
- Experience improving operational systems and internal processes
