Compliance Coordinator - NDIS

Role Overview

We are seeking a detail-oriented and proactive Compliance Coordinator to support the ongoing management of compliance requirements across both Home Care and NDIS operations.

This role is critical in ensuring that all staff and client compliance records, documentation, and regulatory requirements are maintained accurately and in a timely manner. The ideal candidate has a strong understanding of compliance processes, excellent organizational skills, and the ability to identify risks and drive improvements.

You will play a key role in maintaining operational integrity, supporting audits, and ensuring the business meets all relevant regulatory standards.

Key Responsibilities

Compliance Management

  • Monitor and maintain staff and client compliance records, including certifications, screenings, and documentation
  • Track expiry dates and ensure timely renewal of:
    • NDIS Worker Screening
    • Police checks
    • First Aid certifications
    • Working With Children checks
  • Maintain accurate and up-to-date compliance registers and filing systems

Onboarding & Staff Compliance

  • Work closely with HR to ensure all onboarding compliance requirements are completed prior to staff commencement
  • Verify completeness and accuracy of employee compliance documentation
  • Ensure adherence to internal policies and regulatory standards

Client Compliance & Documentation

  • Ensure all client-related compliance documentation is current and accurately recorded, including:
    • Service agreements
    • Consent forms
    • Care plans
  • Maintain structured and audit-ready records across all client files

Audit & Risk Management

    • Support preparation for internal and external audits, including documentation collation and evidence tracking
  • Identify compliance gaps and escalate risks to management with recommended actions
  • Assist in maintaining audit readiness across all compliance areas

Process Improvement & Reporting

  • Contribute to continuous improvement of compliance processes, systems, and reporting
  • Maintain organized workflows for tracking compliance activities
  • Support reporting on compliance status, risks, and performance metrics

Incident & Issue Management

  • Assist with incident reporting and complaints management
  • Support follow-up on corrective actions and ensure proper documentation
  • Ensure all issues are logged, tracked, and resolved in line with compliance standards

Requirements

  • 2–5 years experience in compliance, administration, or coordination roles (preferably in healthcare, NDIS, or community services)
  • Strong understanding of compliance processes and documentation management
  • High attention to detail and strong organizational skills
  • Experience managing sensitive and confidential information
  • Ability to track, monitor, and manage multiple compliance deadlines
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace and/or Microsoft Office

Highly Preferred

  • Experience working within NDIS and/or Home Care environments
  • Familiarity with Australian compliance requirements and worker screening processes
  • Experience supporting audits and regulatory reporting
  • Background in HR compliance or onboarding processes
  • Experience working remotely with distributed teams

  • This is a permanent work-from-home role under an Independent Contractor arrangement.
