Job Overview

Our client is looking for a highly organized and detail-oriented Administrative Assistant to support several business owners with day-to-day administrative operations. The ideal candidate is fluent in English, proactive, and capable of managing multiple responsibilities while maintaining strong attention to detail. This role requires someone who can effectively manage calendars, communicate professionally with vendors and stakeholders, and assist with administrative coordination to keep business operations running smoothly.

Schedule

  • Monday - Friday, Flexible with EST overlap for client communication (40 work hours per week)

Responsibilities Calendar & Schedule Management

  • Manage and coordinate calendars for multiple business owners
  • Schedule meetings, appointments, and calls while ensuring there are no conflicts
  • Send meeting reminders and maintain updated schedules

Email & Communication

  • Draft and respond to emails on behalf of leadership when required
  • Maintain professional communication with clients, vendors, and partners
  • Organize and prioritize inbox communications

Vendor Coordination

  • Communicate with vendors regarding orders, updates, and inquiries
  • Assist with sourcing information and following up on requests
  • Maintain organized records of vendor communications

Order Processing & Administrative Support

  • Assist with processing and tracking orders
  • Maintain organized documentation and records
  • Support daily administrative tasks and business operations

General Administrative Support

  • Perform additional administrative duties as needed
  • Help streamline processes and maintain organized workflows

Requirements

  • Excellent written and verbal English communication skills
  • Strong organizational and time management abilities
  • High attention to detail
  • Ability to manage multiple tasks and priorities simultaneously
  • Experience with calendar management and email communication
  • Proficiency with common productivity tools (Google Workspace, Microsoft Office, etc.)
  • Ability to work independently and meet deadlines in a remote environment

Side Note

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
