Job Overview

Our client is looking for a proactive and goal-oriented customer support & sales admin to manage high-volume communications for multiple clinic locations. In this role, you will be the primary point of contact for new and existing clients, responsible for everything from initial lead nurturing to final appointment booking. 

Client Overview

A multi-location healthcare provider operating within the Dallas, Texas. They utilize a modern tech stack—including CallRail and Quo—to track leads and manage patient interactions, focusing on high-quality service and aggressive growth through lead conversion.

Schedule

  • Tuesday - Saturday, 8:00 AM - 6:00 PM Dallas, TX Time, with 1 hour unpaid break (45 work hours per week).

Responsibilities

  • Call Management: Handle all inbound and outbound calls across multiple clinic locations; screen for spam and manage legitimate inquiries with a professional phone manner.
  • Appointment Setting: Book consultations and appointments accurately across various locations and providers using the client CRM.
  • Lead Nurturing: Follow up on missed calls and voicemails within 24–48 hours and nurture new leads to convert them into booked consultations.
  • System Administration: Tag and categorize leads in CallRail (conversions, wrong numbers, inquiries) to ensure data integrity for marketing reports.
  • Patient Re-engagement: Identify opportunities to re-engage previous clients and proactively request Google reviews from recent patients to boost clinic reputation.
  • General Support: Provide pricing information, answer service-related questions, and perform administrative tasks like follow-up texting during downtime.

Requirements

  • 1–5+ years of experience in customer service, sales administration, or medical intake.
  • Strong English communication skills with a clear, professional, and persuasive phone manner.
  • Proficiency with CRM systems and phone management platforms (Experience with CallRail or Quo is a major plus).
  • Ability to work consistently during Dallas, TX (Central Time) business hours.
  • A goal-oriented mindset, comfortable working within a performance-based compensation structure.

Qualifications

  • Previous experience in a clinical, medical spa, or aesthetic environment (Highly Regarded).
  • Demonstrated ability to handle objections and convert "on-the-fence" leads (Preferred).
  • Tech-savvy with the ability to learn new software platforms quickly.
  • Exceptional organizational skills and the ability to manage multiple clinic schedules simultaneously.

Scope:

  • Full-time position: Tuesday through Saturday, 8am-8pm Central Time
  • Part-time option available with adjusted hourly rates
  • Remote work arrangement with dedicated focus on one client
  • Use of Quo phone system, CallRail lead tracking, and client CRM
  • Opportunity for role expansion and growth within the organization
  • Month-to-month arrangement with replacement guarantee if needed

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
