Job Description: You’ll be the central coordination hub for multiple painting projects, ensuring seamless client experiences while supporting the operations manager. This role puts you at the heart of client relationships, where your communication skills and attention to detail directly impact customer satisfaction and business growth. You’ll manage the full project lifecycle from your desk while the operations team handles on-site work, making you essential to keeping everything running smoothly.

Responsibilities:
- Manage client communications throughout project lifecycle, including color selection assistance and scheduling coordination
- Create and maintain jobs in company systems, including budget identification and advance paint ordering
- Establish vendor accounts for clients and coordinate paint deliveries across all project types
- Assign teams to projects and conduct daily check-ins to monitor progress and provide client updates
- Handle post-completion client follow-up, satisfaction verification, and coordinate touch-up work scheduling
- Prepare drawdowns (paint samples) for commercial clients and coordinate with vendor partners
- Discuss payment terms with commercial clients and manage complex scheduling logistics
- Support email management, work order preparation, and pre-planning for upcoming projects
- Coordinate paint deliveries and scheduling for new build construction projects
- Provide daily progress updates to clients across residential, commercial, and new build sectors
Requirements:
- Excellent English communication skills without heavy accent (extensive client interaction required)
- Strong customer service and client relationship management experience
- Administrative skills with exceptional attention to detail and accuracy
- Proactive mindset with ability to identify issues and propose solutions independently
- Experience in client onboarding, coordination, or project management roles preferred
- Ability to manage multiple concurrent projects and shifting priorities
- Proficiency with business systems, software applications, and vendor coordination
- Professional phone and email communication skills for diverse client base
- Bonus if you have experience in construction, painting, or trade industries
