Our client is a well-established Australian organization operating within the disability support sector and the National Disability Insurance Scheme (NDIS) framework. They are looking for a highly organized Administrative Assistant to support day-to-day operations, focusing on data entry, documentation management, and customer communication. A critical part of this role involves supporting NDIS audit preparation and compliance processes. The ideal candidate is detail-oriented, professional, and possesses a strong understanding of Australian disability service regulations.

Schedule

  • Monday - Friday, 20 hours per week (Flexible schedule aligned with Sydney business hours).

Responsibilities

  • NDIS Compliance & Audit Support: Assist with documentation management and compliance tracking to ensure all records meet NDIS regulatory standards. Support the organization in preparing for NDIS audits.
  • Administrative & Data Management: Perform accurate data entry across internal systems, maintain organized client files, and ensure all documentation complies with data protection standards.
  • Customer Communication: Act as a professional point of contact via phone, email, and chat. Respond to inquiries and provide general administrative support to clients and stakeholders.
  • Financial & Documentation Support: Prepare sales invoices, contracts, and financial reports. Assist in creating presentation templates and administrative documentation using Google Workspace or Microsoft Office.
  • Scheduling & Coordination: Organize meetings, appointments, and events while coordinating communication between departments to ensure a smooth operational workflow.

Requirements

  • Experience: 5+ years of experience in administrative support or office coordination.
  • NDIS Knowledge: Strong understanding of NDIS processes and audit requirements in Australia.
  • Communication: Excellent written and spoken English skills; comfortable handling voice-based customer interactions.
  • Technical Skills: Proficiency with Excel, Microsoft Office, and Google Workspace tools.
  • Attributes: High attention to detail, strong reliability, and the ability to work independently in a remote environment.

Qualifications

  • Previous experience specifically within the Australian disability services sector is highly regarded.
  • Experience supporting NDIS audit readiness or compliance tracking.
  • Familiarity with cloud storage systems such as Google Drive or Dropbox.
  • Background in customer service roles involving voice communication.

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection and are responsible for their own taxes and benefits.
