Responsibilities:

  • Prepare and compile project documentation including quotes, progress reports, and completion reports
  • Create and maintain SWMS (Safe Work Method Statements) documents as required for construction projects
  • Develop site registers and material safety data sheets for project compliance
  • Process project variations and amendments to existing quotes (e.g., adding $10,000 toilet installation to $100,000 base quote)
  • Upload and submit documents through various client web portals and online systems
  • Source and organize project-related documents and materials as needed
  • Transform field information and photos provided by project staff into professional, presentable client documents
  • Assist with creating project schedules and workforce planning documents
  • Support the development of standard operating procedures (SOPs) and document training processes
  • Provide general administrative support to 5 project division team members
  • Future responsibilities may include supplier and contractor sourcing and procurement support

Requirements:

  • Strong administrative background with emphasis on document preparation and form completion
  • Proficiency in basic mathematics and quote/variation calculations
  • Experience with web portals and online document submission systems
  • Excellent attention to detail and document organization skills
  • Ability to create workflows and draft new document templates
  • Strong initiative to record training sessions and create documented SOPs from verbal instructions
  • No construction industry experience required, but willingness to learn construction terminology
  • No graphic design skills required (internal marketing team handles document formatting)
  • No bookkeeping or heavy invoicing experience needed
  • Ability to work independently and manage multiple requests from team members

Scopes:

  • Internal role with no direct client contact or communication
  • Support 5 project division team members across both residential and commercial project streams
  • Handle projects ranging from $100,000 to $1 million AUD with 3-week to 3-month durations
  • Work on both commercial projects (office buildings, childcare centers, aged care facilities) and residential renovations
  • Position designed as first of potentially 2-3 VA roles as division grows
  • Focus initially on core administrative tasks with potential expansion into procurement support
  • Flexible timeline for hiring - quality of candidate prioritized over urgency
  • Opportunity to help establish processes and procedures for new business division
