Job Overview

Our client is looking for an operational Integrator whose main job is to set the client and agency working partnership up for success. Crucially, the key to this role is protecting our Client Leads' time. By taking ownership of incoming requests, chasing updates, and managing the daily admin, you free up the Leads to actually focus on building strategic solutions. Sitting right behind our Client Leads, you are the operational bridge between the client, the Lead, and our Engagement Experts.

Because we operate fractionally, our execution teams are often a complex mix of internal staff, the client's own in-house team, and temporary specialists. You love bringing structure to this chaos. You catch all first-line requests, organize the weekly resourcing, make sure assets are ready to go, and keep our project plans updated so the entire blended team can just execute.

Responsibilities

  • Weekly Task Clarity: Own the weekly cadence. Map out the week ahead and ensure our Engagement Experts know what is on their backlog, so the Client Lead has the exact support they need before the week even starts.
  • First-Line Triage & Resolution: Act as the first port of call for incoming client requests. Catch the messages, sort them, and resolve the quick tasks instantly (like fixing a login or finding a file) before they distract the broader team.
  • First-Line QA & Quality Control: Be the gatekeeper for XI's standards. Make sure all briefs, files, and assets are fully sourced and ready before an Engagement Expert picks up a task. Do the first-line QA on submitted work—checking not just for functional bugs, but for design quality, brand alignment, and sharp copy. You capture and route any feedback or corrections before it ever reaches the Client Lead.
  • Project & Priority Management: Make sure client priorities are captured. Build, load, and track the project plans in our system (Productive.io), ensuring this remains clean, accurate, and relevant for the project requirements.
  • Engagement Operations: Lock in the client engagement meetings. Sort the schedules, prep and send the agendas, and make sure the Client Lead is fully briefed.
  • Tech & Asset Setup: Set up client files and folders for success. Implement our self-service tech and proprietary systems (like XI ATLAS / Marketing Central), keep them meticulously updated, and get clients to actually use them.

Requirements

  • Marketing & Admin Hybrid: You genuinely love brand and experience marketing, but your real superpower is project management and marketing administration.
  • An Eye for Quality: You know what premium B2B marketing looks like. You have a sharp eye for clean design and flawless English copy, allowing you to spot subpar work instantly.
  • Agency / Fractional Ops: Proven experience in project management, client success, or operations in a fast-paced agency or consulting setup.
  • Managing Blended Teams: Experience coordinating work across a mix of internal staff, client-side employees, and external specialists.
  • Global Asynchronous Working: Used to manage workflows where the client and the team are in totally different time zones.
  • System Mastery: Strong working knowledge of Productive.io (or highly advanced in Asana, ClickUp, etc.) and able to adapt fast.
  • Professional Communication: Excellent written English. You can confidently write clear, objective updates for scale-up CEOs and global B2B brand managers using "we" language.
  • Proactive Problem Solving: A strong bias for action. You resolve roadblocks yourself and predict what is needed next to keep projects on track.
  • Tech Led: You must have experience using Google Workspace, Slack, and be confident with new technologies - a bias for automation and being able to set this up is also key within the role.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
