Specializing in landscape maintenance, construction, and building renovations, the business is at a critical growth point. We are moving away from a "one-man band" structure to a professionalized, scalable team. This role is designed to provide essential backbone support to our Project Coordinator and Director, ensuring that as we win more work, our documentation and data remain flawless.

Job Description: We are seeking a detail-oriented and highly organized Office Administrator to serve as the administrative engine of our operations. You will work directly with our Project Coordinator to manage the flow of information from the initial quote through to job completion. This is a high-volume role where your ability to accurately enter data, set up project paperwork, and manage day-to-day office tasks will directly enable our field staff and leadership to focus on high-level delivery. Responsibilities:

  • Data Entry & Systems: Accurately input project data, client information, and costs into company spreadsheets and our primary management system (Arrow Flow).
  • Job Documentation: Set up all necessary paperwork for new projects, including work orders, site safety packs, and subcontractor documentation.
  • Project Coordination Support: Assist the Project Coordinator in tracking job progress, updating schedules, and ensuring field staff have the information they need.
  • Communication: Handle professional email correspondence with clients, suppliers, and internal team members.
  • File Management: Maintain digital filing systems to ensure all project photos, measurements, and contracts are easily accessible.
  • Daily Office Duties: Perform general administrative tasks including calendar management, basic reporting, and assisting the Director with ad-hoc administrative requests.
  • Compliance: Ensure all necessary insurance certificates and compliance documents are collected and filed for subcontractors.

Requirements:

  • Proven Admin Experience: 2+ years of experience in an administrative or office support role, ideally within the construction, landscaping, or trade services industry.
  • Data Entry Precision: Exceptional attention to detail with a high level of accuracy in data entry and record-keeping.
  • Tech Savvy: Proficiency in Microsoft Office (Excel/Word) and Google Workspace. Experience with ERP or Project Management software (like Arrow Flow, SimPRO, or Jobber) is a significant plus.
  • Communication Skills: Excellent written and verbal English communication skills for professional interaction with Australian-based staff and clients.
  • Organization: Ability to manage multiple administrative "moving parts" and meet deadlines without constant supervision.
  • Proactive Mindset: A "can-do" attitude—someone who looks for ways to improve office processes rather than just following them.
