Role Summary
We’re hiring a senior, internal-facing operations leader to run the day-to-day business engine across
Administration, Finance, Sales Operations, Marketing Operations, and Partnerships. This role owns
execution, accountability, and operating cadence—ensuring every function (often a team of one) has
clear priorities, tracking, and follow-through. You’ll build and maintain the systems (CRM, back office
workflows, KPI dashboards), coach for performance, and keep culture and standards consistent.
What Success Looks Like (90-180 Days)
• A clear weekly operating cadence is running smoothly (meetings, reporting, priorities, follow-up).
• KPI tracking is live, accurate, and used to drive action—not just reported.
• CRM and back-office systems are organized, adopted, and improving throughput.
• Marketing and sales execution is consistent, measurable, and accountable.
• Founder receives concise visibility into department status, risks, and next actions.
• KPI-based incentive plans are implemented with clean reporting and adoption.

Key Responsibilities
Operational leadership & accountability
• Oversee day-to-day operations across Admin, Finance, Sales, Marketing, and Partnerships
(non-clinical).
• Coordinate with department heads or individual contributors (often one-person departments).
• Set priorities, deadlines, owners, and deliverables; remove blockers; drive follow-through.
• Coach for productivity and output while maintaining a high-trust, high-standards environment.
• Enforce operating norms and company culture consistently.
KPI monitoring, analysis & reporting
• Build and maintain KPI dashboards and reporting rhythms (daily/weekly/monthly).
• Monitor performance, identify trends, and surface risks early.
• Translate data into clear recommendations and action plans.
• Report to the Founder on the health, functionality, and output of each department.
People development & performance
• Hold twice-monthly 1:1s focused on personal and professional development.
• Set goals, clarify expectations, and provide direct feedback with consistency.
• Support role clarity, workload balance, and cross-functional collaboration.
Meeting leadership & operating cadence
• Run the daily all-team meeting when the Founder is unavailable.
• Create agendas, keep meetings efficient, document decisions, and track action items to
completion.
• Maintain a centralized system for commitments, owners, due dates, and outcomes.
Sales operations support
• Support sales execution through process, tracking, and coaching.
• Assist sales with role-playing to improve skill, consistency, and confidence.
• Ensure pipeline activity, conversion, and follow-up metrics are tracked and reviewed.
• Implement KPI-based incentive plans aligned with performance and quality.
Marketing operations management
• Manage marketing operations to ensure initiatives have owners, timelines, and measurable
outcomes.
• Create accountability for marketing throughput (content/campaign execution) and performance
reporting.
• Coordinate across sales and partnerships so marketing supports revenue priorities.
Admin operations & systems (CRM + back office)
• Improve organization, documentation, and operational hygiene across admin workstreams.
• Lead CRM setup/cleanup, workflows, reporting structure, and adoption.
• Build repeatable processes and lightweight SOPs to reduce single-point-of-failure risk.
Finance reporting & business insight
• Oversee internal finance reporting and analysis (performance tracking, trends, and insights).
• Partner with external bookkeeping/accounting resources as applicable; ensure inputs are accurate
and timely.
• Translate financial data into operational decisions and prioritization.
Required Experience & Skills
• Proven experience leading business operations across multiple functions (admin, finance, sales
ops, marketing ops).
• Strong KPI fluency: building metrics, monitoring performance, analysis, reporting, and driving
action.
• Experience running operational cadences: standups, weekly planning, reporting rhythms, accountability systems.
• Comfort managing small teams and teams of one; strong coaching, prioritization, and coordination
skills.
• Hands-on CRM and back-office systems experience (setup, workflows, reporting, adoption).
• Experience creating and implementing KPI-based incentive plans and performance frameworks.
• Excellent written and verbal communication; clear, concise, and consistent.
• High ownership and follow-through; able to enforce standards and culture with professionalism.

Reporting Relationship
This role reports directly to the Founder/CEO and provides regular visibility into the status, functionality,
and output of each department.
Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
