The Role

We are seeking a highly motivated and detail-oriented Bookkeeper / Staff Accountant to join our team. You will work closely with our small team, supporting day-to-day accounting and bookkeeping tasks across our client base.

This is more than just a data entry role; you'll be expected to understand the underlying transactions & processes, use various saas tools, and contribute to the overall financial health of our clients.

Schedule:

  • Monday to Friday, 8am to 5pm Eastern with an hour unpaid break

Responsibilities

  • Adhere to Standard Operating Procedures (SOPs) while employing critical thinking to understand the purpose behind each step.
  • Perform daily transaction categorization in QuickBooks Online (QBO) and expense management platforms like Ramp, ensuring accuracy in accounts and classes.
  • Process vendor bills accurately through Ramp (or QBO where applicable), ensuring proper coding and adherence to payment schedules.
  • Manage accounts receivable, including creating invoices, recording payments received via various methods (including Stripe), and matching payments to invoices correctly.
  • Assist with month-end close procedures, including bank reconciliations and ensuring balance sheet accounts are 100% accurate.
  • Utilize tools like Airtable for tasks such as managing deal databases, creating new deals, or tracking contract details.
  • Use Microsoft Excel for data analysis and reporting, such as reviewing expense reports or preparing data for journal entries.
  • Handle tasks related to new client contracts and potentially assist with processes like revenue and commission allocation.
  • Proactively identify areas for process improvement and provide constructive feedback.
  • Maintain clear communication with the team, asking clarifying questions whenever necessary to ensure complete understanding and accuracy.
  • Take full ownership of assigned tasks, ensuring timely and accurate completion.

Qualifications & Attributes

  • Essential: Minimum 2 years of significant, hands-on experience managing core bookkeeping functions within QuickBooks Online.
  • Essential: Proven tech-savviness and ability to quickly learn and proficiently use various software platforms. Daily use of Ramp, Airtable, and Excel is required alongside QBO.
  • Strong grasp of fundamental bookkeeping and accounting principles.
  • Exceptional attention to detail and an unwavering commitment to 100% accuracy – "close enough" isn't good enough.
  • Demonstrated critical thinking skills; you strive to understand the "why" behind processes, not just follow steps blindly.
  • Excellent communication skills; you must be comfortable and proactive about asking questions when unsure, aligning with our "Never Guess" principle.
  • A strong sense of ownership and reliability; you understand that if a task is assigned to you, you are responsible for its successful completion.
  • Proactive mindset with an ability to identify inefficiencies and suggest improvements.
  • Ability to work independently, manage time effectively, and meet deadlines in a remote setting.

Nice-to-Haves

  • Experience working in demanding, deadline-driven acounting environments (e.g. public accounting firms, fast-paced industry roles) is a plus
  • Experience in roles requiring rigorous analytical thinking and process adherence.
  • Familiarity with Stripe, or HubSpot.
  • Associate's or Bachelor's degree in Accounting or a related field.
