Administrative & Scheduling Coordinator

Job Overview

Our client is looking for a highly organized, proactive, and critical-thinking Administrative & Scheduling Coordinator to support a fast-paced gastroenterology practice. This is a key role for someone who thrives in a dynamic medical environment and can independently manage both office and surgery coordination with professionalism and efficiency. You will play a central role in keeping the practice running smoothly.

Schedule

  • Monday - Friday, 8:30 AM - 5:00 PM Pacific Time, with 30-minute unpaid lunch and 2 × 10-minute paid breaks (40 work hours per week)

Responsibilities

  • Coordinate office appointments and ensure smooth daily scheduling flow.
  • Manage and track surgery scheduling, including knowing exactly where each case stands at any given time.
  • Communicate with surgery centers, hospitals, providers, and staff to prevent delays or errors.
  • Contact patients promptly if a provider calls out or schedules change.
  • Troubleshoot Zoom and liaise with Zoom support when needed.
  • Create and manage DocuSign templates and handle electronic signatures.
  • Draft professional emails and communicate clearly with patients, staff, and external facilities.
  • Log into and manage multiple accounts and platforms while keeping all information organized and updated.
  • Post job ads (e.g., Indeed) and manage the hiring pipeline.
  • Track administrative workflows and anticipate issues before they arise.
  • Maintain high responsiveness and dependability for urgent matters.

Requirements

  • A true critical thinker who does not wait to be told what to do.
  • Deep understanding of the difference between office scheduling and surgery scheduling.
  • Highly organized individual who always knows the status of pending tasks.
  • Strong written and verbal communication skills.
  • Ability to remain calm under pressure and stay solution-oriented.
  • High level of maturity, discretion, and strong professional judgment.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
