Key Responsibilities

  • Prepare and administer MasterBuilders client contracts, subcontractor agreements, variation orders, extensions of time, and payment claims.
  • Upload and track all contract documentation within Buildertrend, ensuring version Buildertrend control and visibility for clients and the internal team.
  • Create selection portals for new jobs and ensure these are updated as they are approved following the required workflow.
  • Ensure contract signing, selections, and approvals are completed on time to align with pre-construction schedules.
  • Act as the primary client contact for contract primary client contact for contract primary client contact for contract-related matters related matters related matters, including variations, progress claims, and invoicing.
  • Review contract terms and amendments, ensuring compliance with Master Builders Master Builders standards, QBCC requirements, and company policies. standards, QBCC requirements, and company policies
  • Coordinate with the Sales & Production Estimator/Scheduler to prepare accurate variations and costings.
  • Monitor subcontractor and supplier compliance documentation (licences, insurances, safety records), ensuring site staff have current records available.
  • Work closely with Site Supervisors and Project Managers to ensure the contract documentation supports construction schedules.
  • Assist with home handovers by ensuring all contractual documentation, warranties, and approvals are finalised.

  • Contract Accuracy – 100% of contracts executed with Contract Accuracy out errors or missing documentation.
  • Variation Efficiency – 100% of variations approved Variation Efficiency and processed before commencement of related works.
  • Schedule Alignment – All contract and selection Schedule Alignment milestones finalised prior to construction start dates.
  • Compliance – Subcontractor and supplier compliance. Compliance documentation is maintained at 100% currency.
  • Client Satisfaction – Positive feedback regarding Client Satisfaction clarity, transparency, and responsiveness.
  • Handover Completion – 100% of projects handed over Handover Completion with complete contract documentation.

  • Sound understanding of residential building contracts and QBCC requirements.
  • Ability to prioritise tasks and meet strict deadlines in a fast-paced environment.
  • Proficiency in Buildertrend Buildertrend Buildertrend and Microsoft Office Suite.

Requirements

  • Previous experience in a Contracts Administrator ro Contracts Administrator role within residential new home construction.
  • Knowledge of Queensland building legislation, NCC, QBCC compliance, and Master Builders standards.
  • Familiarity with digital project management systems (Buildertrend essential).

3-Month Training Month Program

Month 1 –Induction & Foundations Induction & Foundations Induction & Foundations

  • Company induction: policies, values, Master Builders/QBCC compliance.
  • Introduction to Buildertrend: contracts module, client communication, document management.
  • Shadow senior staff during contract preparation and variation process.
  • Training on Master Builders/QBCC contract requirements, insurances, and approvals.

Month 2 –Skills & Application Skills & Application Skills & Application

  • Hands-on practice preparing draft contracts and variation orders in Buildertrend.
  • Client communication training: managing expectations, progress claims.
  • Review subcontractor compliance documentation and uploading into Buildertrend.
  • Cross-team collaboration: working with Estimator and Site Supervisor on alignment.

Month 3 – Independent Delivery & Assessment Independent Delivery & Assessment Independent Delivery & Assessment

  • Independently prepare full contract package (supervised sign-off).
  • Run the client variation process from request through approval.
  • Demonstrate ability to manage timelines aligned to construction schedules.
  • End-of-program assessment: accuracy, compliance, and client satisfaction simulation.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
