Job Overview
Our client is seeking a highly organized and proactive Customer Service and Administration Coordinator with strong ServiceM8 experience to support their growing trade-based operations. This role plays a key part in ensuring seamless communication between clients and field staff while managing high-volume scheduling, logistics, and administrative workflows.
The ideal candidate has previously worked within a trade-based company and is confident in navigating fast-paced service environments where coordination, attention to detail, and clear communication are essential.

Responsibilities
- Send job booking forms and confirm all required information is received before scheduling
- Monitor ServiceM8 for new enquiries and ensure correct queuing and allocation
- Coordinate daily job scheduling and track progress to prevent delays
- Escalate urgent scheduling issues to the Operations Manager
- Manage customer enquiries via phone and email with timely follow-up
- Conduct daily job checks in ServiceM8 to ensure all checklists and statuses are accurate
- Submit WA solar applications to Plenti, Synergy, and Western Power
- Set up and finalize STC rebate jobs via Formbay
- Complete solar job administrative checklists and documentation
- Maintain IEC spreadsheets and online solar monitoring platforms
- Assist with inbox management and material ordering
Requirements
- Proven experience using ServiceM8 in a trade or field service environment
- Strong administrative background with excellent attention to detail
- Experience in a trade-based company, such as electrical, plumbing, HVAC, or solar
- Ability to manage high-volume scheduling and customer coordination
- Proficiency in Google Workspace, including Gmail and Google Drive
- Professional written and verbal English communication skills
- A calm, organized, and proactive approach to problem-solving

This is a permanent work-from-home role under an Independent Contractor arrangement.
