A growing Australian mortgage brokerage is seeking a detail-oriented and operationally strong Mortgage & Finance Operations Administrator to support application processing and compliance workflow management. This role is integral to ensuring loan files are accurate, compliant, and submission-ready. You will be responsible for supporting the brokerage through efficient document collection, accurate CRM data entry, and lender coordination. Client Overview

Schedule

  • Monday - Friday, 8:30 AM – 5:30 PM AEST (Sydney Time), with 1-hour unpaid break (40 hours per week)

Responsibilities

  • Document Management: Collect and review client supporting documents (bank statements, payslips, IDs) to ensure they meet lender requirements.
  • Client Engagement: Speak with clients to gather basic fact-finding information and conduct consistent follow-ups for outstanding documents.
  • CRM Data Entry: Accurately input and maintain client data within the CRM system to ensure a "single source of truth" for every application.
  • Loan Submission Prep: Prepare basic broker notes for loan submission and coordinate follow-ups between lenders and clients.
  • Compliance & Auditing: Maintain clean and organized digital filing systems in line with strict naming conventions, ensuring all files are audit-ready.
  • Workflow Coordination: Manage multiple files and deadlines simultaneously, ensuring no application stalls in the pipeline.

Requirements

  • Experience in mortgage processing, finance administration, or a similar lending environment.
  • Alternative Experience: Professionals with strong admin and CRM experience in accounting, legal, or real estate are encouraged to apply.
  • Exceptional attention to detail and accuracy.
  • Confidence speaking with clients over the phone and handling professional follow-ups.
  • Strong proficiency in using CRM systems and digital filing platforms.
  • Excellent written and verbal English communication skills.

Qualifications

  • Experience supporting Australian mortgage brokers (Highly Preferred).
  • Familiarity with Australian lender submission processes (e.g., ApplyOnline/AOS) (Nice to Have).
  • Understanding of Australian credit compliance and NCCP Act requirements (Nice to Have).

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
