Role Summary:
We are seeking a detail-oriented and customer-focused Sales Assistant to join our team. This role involves handling customer enquiries, managing CRM workflows, supporting quoting and proposal stages, and ultimately helping guide customers through the sales process for ducted air conditioning systems. This role is a mix of sales and customer service.
Schedule
- Thursday through Monday - 8:00 AM to 5:00 PM AEST with 1hr unpaid break, Tuesday and Wednesday off as the designated weekend 40 hours per week
- The standard workweek runs from Saturday through to Wednesday, with Thursday and Friday as the designated weekend
- Availability to work on Australian public holidays is required; however, time off in lieu will be arranged to compensate

Key Responsibilities:
- Respond to customer enquiries across multiple platforms (Facebook, Instagram, webchat, SMS) via our CRM
- Accurately enter job details and maintain customer records in the CRM
- Perform heat load calculations to determine appropriate sizing for ducted air conditioning systems (comprehensive training will be provided)
- Gather customer information via phone, SMS, or email
- Take accurate notes and perform data entry with attention to detail
- Manage CRM pipeline stages using Heat Factory CRM
- Respond to and manage ongoing customer conversations through the CRM
- Review and interpret customer floor plans to calculate ducted system size required for quoting
- Manage the estimating inbox and respond to relevant enquiries
- Make discovery calls to understand customer needs during the quoting stage
- Quote customized ducted air conditioning packages based on customer requirements
- Create and send personalized proposals tailored to customer needs
- Process completed site inspections and prepare them for quoting/proposal stage
- Process ‘won jobs’ and coordinate with the operations team for bookings
- Follow up with customers on sent proposals and answer questions to close the sale
- Progress into pricing jobs and preparing detailed customer proposals
Requirements
Ideal Candidate Attributes:
- Excellent verbal communication skills in English, with clear and professional articulation
- Strong organizational skills and a high level of attention to detail
- Confident using computers and familiar with standard business software
- Experience with GoHighLevel CRM is a strong advantage
- Background in HVAC or air conditioning sales is beneficial but not required

This is a permanent work-from-home role under an Independent Contractor arrangement.
