Role Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level support to a senior executive managing multiple businesses.

This role goes beyond basic administrative tasks. The ideal candidate is strategic, resourceful, and capable of anticipating needs, prioritizing competing demands, and maintaining operational efficiency in a fast-paced environment. You will act as a trusted partner, ensuring seamless communication, coordination, and execution across teams.

Schedule

Full-time (40 hours a week)

Mon-Friday 9:30 am to 6:00 pm PST (30 minute unpaid break)

Key Responsibilities

Executive & Calendar Management

  • Manage daily calendar, schedule appointments, and coordinate meetings
  • Prioritize emails and correspondence for executive review
  • Draft and respond to emails on behalf of the executive
  • Screen phone calls and inquiries

Communication & Liaison

  • Communicate directly with the executive via Zoom, email, and messaging platforms
  • Act as liaison between the executive and internal teams or external stakeholders
  • Ensure smooth communication flow and prompt resolution of requests

Meeting & Project Coordination

  • Attend executive meetings and take accurate minutes
  • Compile notes and track action items
  • Monitor task progress across teams and provide status updates
  • Assist in prioritizing key initiatives and deadlines

Research & Administrative Support

  • Conduct online research and prepare concise summaries
  • Coordinate travel logistics and arrangements
  • Assist with expense reconciliation and financial tracking
  • Support bank account oversight and basic financial administration
  • Organize internal documents, digital folders, and promotional materials
  • Handle general administrative tasks as needed

Strategic & Proactive Support

  • Identify process improvements and workflow efficiencies
  • Anticipate executive needs and solve problems independently
  • Provide proactive support across multiple business operations

Requirements

  • Minimum 3 years of experience as an Executive Assistant supporting C-level executives or business owners 
  • Experience is Transportation or Logistics a big plus
  • Strong organizational and project management skills
  • Exceptional attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in MS Office Suite (especially Excel and Outlook)
  • Ability to multitask and thrive in a fast-paced environment
  • Strong problem-solving abilities
  • Comfortable managing confidential and sensitive information
  • Proactive mindset — not just task-oriented

Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
