Overview:
We are seeking an experienced Mortgage Administrator / Para-Planner to provide comprehensive end-to-end support within a UK-regulated mortgage advisory environment. This remote, outsourced role is responsible for managing mortgage cases from post-fact-find through to mortgage offer, exchange, and completion, ensuring full compliance with FCA and regulatory standards.
The successful candidate will take full ownership of case progression, documentation, lender liaison, and compliance tracking, allowing the adviser to focus exclusively on client advice and business development. This role requires strong knowledge of UK mortgage processes, lender portals, FCA compliance requirements, and the ability to proactively manage multiple live cases with accuracy and efficiency.
Scope of Work:
- Full case management from post-fact-find to completion
- The adviser focuses on advice only; the administrator handles execution and follow-through
- Ongoing role with consistent case flow
Schedule:
- Mondays to Fridays, 9:00 am to 5:00 pm (UK Time), with a 1-hour unpaid break (40 hours per week)

Key Responsibilities:
- Mortgage Administration & Case Management
- Create, manage, and maintain cases on Stonebridge Revolution and my CRM SMARTR365
- Package and submit mortgage applications to lenders
- Complete client details on our CRM – SMARTR365 –
- Upload all supporting documentation to the lender portals and save documents to our OneDrive folder
- Ensure applications are accurate, complete, and compliant before submission
- Monitor lender SLAs and proactively chase cases through to mortgage offer whilst keeping clients updated throughout the process
- Compliance & Documentation
- Complete all required Stonebridge compliance tasks on Revolution
- Ensure suitability letters, disclosures, and supporting documents are correctly uploaded and recorded
- Maintain clean, audit-ready files in line with FCA and Consumer Duty requirements
- Flag any compliance or lender policy issues to the adviser promptly
- Lenders
- Liaise with lenders as required
- Chase valuations, underwriting queries, mortgage offers, exchange, and completion
- Keep accurate notes on our CRM and status updates on each case
- Client Communication
- Act as a professional point of contact for clients post-advice
- Request outstanding documentation clearly and efficiently
- Provide regular progress updates to clients where appropriate
- Systems & Experience Required
- Experience with UK mortgage lenders and their online portals
- Knowledge of FCA compliance and regulated mortgage advice environments
Ideal Candidate Profile:
- Minimum 1+ years of experience as a UK mortgage administrator or para-planner
- Highly organised, detail-oriented, and proactive
- Comfortable managing multiple cases simultaneously
- Strong written and verbal English communication skills
- Able to work independently and meet strict deadlines
