Our client is looking for a versatile and highly organized Construction Operations & Estimating Assistant to manage the critical backbone of their construction and development projects. Responsibilities
- Manage all incoming client and project communications via phone, email, and messaging platforms, ensuring timely responses and proper prioritization
- Oversee project administration in Construction Online UDA and Wrike, maintaining accurate project statuses, timelines, and documentation
- Process project closeout documentation including contracts, lien waivers, W-9s, and certificate approvals for current GC projects
- Perform detailed construction takeoffs and material quantity estimations using Stack software for pre-construction and development projects
- Prepare comprehensive bidding packages and preliminary budgets for new development opportunities, including gathering subcontractor quotes
- Coordinate communication with architects, engineers, and design teams regarding drawing revisions, RFIs, and project information flow
- Manage client invoicing through QuickBooks and conduct systematic follow-up on overdue payments to improve cash flow
- Track and nurture leads for both software implementation projects and single-family developments within HubSpot CRM
- Conduct initial outreach and qualification of new business opportunities, scheduling discovery calls and follow-up meetings
- Create and maintain comprehensive Standard Operating Procedures (SOPs) for all recurring administrative, estimating, and communication workflows
- Optimize utilization of existing software tools including HubSpot, Construction Online UDA, Wrike, QuickBooks, and Stack
- Build and maintain a centralized knowledge base documenting operational procedures, compliance requirements, and best practices
- Research current material pricing from suppliers and compile data to support development project underwriting
- Develop templates and systems for automated client and subcontractor communications to streamline routine updates
Requirements
- Proven experience with construction project administration, estimating, or related operational support (2+ years preferred)
- Strong technical proficiency with construction management software; experience with platforms like Procore, BuilderTrend, or similar systems highly valued
- Demonstrated ability to learn new software quickly; familiarity with Stack (takeoff software), Construction Online UDA, Wrike, HubSpot CRM, or QuickBooks is a significant plus
- Exceptional attention to detail with ability to manage complex documentation including contracts, compliance records, and financial documents
- Experience performing construction takeoffs, reading blueprints, or understanding construction drawings and specifications
- Strong written and verbal communication skills with ability to professionally represent the company to clients, architects, and subcontractors
- Excellent organizational and time management abilities with capacity to juggle multiple projects and priorities simultaneously
- Self-directed work style with strong initiative and ability to work independently with minimal supervision
- Process-oriented mindset with experience creating or following Standard Operating Procedures and documented workflows
- Comfortable with numbers and basic estimating calculations; experience with construction budgeting or cost analysis preferred
- Proactive problem-solver who can anticipate needs and take ownership of outcomes rather than waiting for direction
