Administrative Assistant – Travel & Executive Support

Overview

We are seeking a highly organized, diligent, and detail-oriented Administrative Assistant to provide back-office and executive support to the team.

This role is heavily focused on travel booking and coordination, which will make up the majority of responsibilities. The ideal candidate will have strong experience managing end-to-end travel arrangements, excellent communication skills for liaising with external stakeholders, and a structured, highly organized approach to administrative work.

The successful candidate must be capable of working independently while maintaining high standards of accuracy, professionalism, and confidentiality.

Schedule

  • Monday to Friday; Flexible within client business hours (Singapore/Philippines Time Zone); 20 hours per week

Key Responsibilities

Travel Coordination (Primary Focus – Majority of the Role)

  • Handle end-to-end travel bookings including flights, accommodations, ground transport, and itineraries
  • Ensure bookings align with schedules, budgets, and company policies
  • Manage last-minute travel changes, cancellations, and re-bookings efficiently
  • Maintain accurate and organized travel records

Calendar & Scheduling Management

  • Manage executive calendars and coordinate appointments
  • Organize internal and external calls/meetings across time zones
  • Liaise professionally with external stakeholders to schedule and confirm meetings
  • Send calendar invites, confirmations, and reminders

Expense Processing & Administrative Support

  • Process and log business expenses in line with company policies
  • Ensure accurate documentation and timely reconciliation
  • Familiarity with expense management platforms such as Aspire is a plus (good to have, not required)
  • Assist with various administrative and back-office tasks as assigned
  • Follow established company processes and administrative procedures

Communication & Coordination

  • Maintain timely and professional communication via email and phone during designated hours
  • Handle sensitive business information with confidentiality
  • Work autonomously with minimal supervision

Requirements

  • Previous experience as an Administrative Assistant or in a similar back-office support role
  • Proven, hands-on experience managing travel bookings (highly preferred and essential)
  • Experience handling calendar scheduling and coordinating with external stakeholders
  • Proven ability to manage expense processing accurately
  • Exceptional attention to detail and strong organizational skills
  • Excellent written and verbal communication skills
  • Ability to work independently and manage tasks autonomously
  • Familiarity with administrative software, tools, and online booking platforms
  • Reliable internet connection and professional remote work environment
  • Ability to provide valid identification (e.g., national ID or passport) if required for certain financial or expense management platforms

  • This is a permanent work-from-home role under an Independent Contractor arrangement.
