Project Coordinator (Construction)

Scopes

  • Handle all client email communications with a 24-hour response time
  • Manage projects ranging from $2,000 maintenance jobs to $700,000 renovations
  • Track and maintain records for 15-20% small jobs (sub $10k) and 80-85% larger renovation projects
  • Coordinate with multiple suppliers and trades for pricing and scheduling
  • Support documentation and compliance requirements for all active projects
  • Assist in maintaining financial records and job costing for all projects.

Schedule

  • Monday - Friday, 9:00 AM - 6:00 PM, Sydney (40 work hours per week)

Responsibilities

  • Manage client communications from initial inquiry through project completion, ensuring quick response times and consistent updates
  • Process and track supplier pricing requests, maintaining accurate records for quote preparation
  • Handle financial administration including job costing, budget tracking, and profitability analysis
  • Coordinate with suppliers and trades to gather pricing and maintain project schedules
  • Maintain comprehensive project documentation including work diaries, timesheets, and material records
  • Support quote preparation by ensuring current pricing and maintaining pricing databases
  • Implement and maintain project management systems for both small maintenance jobs and larger renovation projects
  • Provide weekly status updates to active clients
  • Assist in developing and maintaining quality control checklists for different project stages

Requirements

  • Strong organizational skills with the ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Experience with project management software (training will be provided on Wunderbuild)
  • Proficiency in Microsoft Excel/ google sheets for tracking and maintaining pricing databases
  • Detail-oriented with a strong focus on accuracy in pricing and documentation
  • Construction industry experience preferred but not required
  • Professional demeanor when dealing with clients and suppliers

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
