Job Description
You’ll be the vital first point of contact for patients, ensuring they receive immediate, professional responses that reflect the practice’s 20+ year reputation for excellence. This role combines traditional medical reception duties with modern digital tools, giving you the opportunity to help streamline operations during an exciting expansion phase. You’ll work directly with the practice owner to maintain seamless patient experiences while supporting the growth of two clinic locations.

Schedule: 40 hours per week, 9am to 6pm UK timezone with 1 hour unpaid break

Responsibilities

  • Answer incoming patient calls and respond to email inquiries with immediate, professional service
  • Manage appointment scheduling using digital calendar systems to optimize clinic efficiency
  • Input treatment notes using the practice’s specialized 10-code documentation system
  • Record patient fees and maintain accurate financial records for both clinic locations
  • Provide patients with requested information and handle follow-up communications
  • Manage complete clinic operations during practitioner vacation periods
  • Set up and maintain basic social media presence to promote the practice
  • Handle personal administrative tasks such as travel arrangements during downtime
  • Ensure optimal scheduling efficiency by providing immediate responses to patient inquiries

Requirements

  • Previous experience in medical or healthcare administration (required)
  • Strong communication skills with clear, professional phone manner suitable for patient interaction
  • Proficiency with digital calendar systems and basic CRM tools
  • Ability to learn and accurately apply medical coding systems
  • Reliable internet connection and professional home office setup
  • Bonus if you have experience with social media setup and basic content management
  • It helps if you’re proactive with problem-solving and can recommend appropriate tools and systems
