Clinical Documentation Assistant

We are seeking a reliable and detail-oriented Administrative Assistant to support a busy Australian medical clinic. This is a remote, part-time role ideal for someone highly organised, responsive, and comfortable working with medical documentation and systems.

Role Overview:

You will play a key role in supporting doctors and ensuring smooth administrative operations. The position involves document preparation, follow-ups, patient file management, and light communication tasks.

Schedule:

  • Mondays to Fridays, between 8:00 am and 5:00 pm (flexible within client business hours, 20 hours per week—depending on business needs)

Key Responsibilities:

  • Pre-fill template documents using information from completed questionnaires
  • Manage and action follow-up requests from doctors (primarily via email), including:
  • Obtaining missing ultrasound or medical reports
  • Sending completed documents to patients or medical partners
  • Conduct light outbound phone calls when required
  • Maintain and update patient files in the Cliniko practice management system
  • Ensure all documentation is accurate, complete, and properly stored
  • Keep clear and organised digital records

Requirements:

  • Strong written and verbal English communication skills
  • Close attention to detail and accuracy
  • Experience in administrative or medical support roles preferred
  • Comfortable using practice management systems (experience with Cliniko is an advantage)
  • Proactive, organised, and able to work independently
  • Reliable internet connection and quiet home workspace

Side Note:

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
