Our client is seeking a highly organized and proactive Operations Coordinator to support the center's leadership team across administrative operations, compliance, and digital communications.
In this role, you will serve as a key partner to management, helping streamline workflows, manage critical documentation, and ensure day-to-day operations run efficiently. You will also support the center's online presence through website updates, social media, and communications with families.

The client is a well-established childcare center based in Melbourne, Australia, dedicated to providing high-quality early childhood education and care. They support families and young children in their community, with a strong focus on safety, compliance, and exceptional service.
As the center continues to grow, they are expanding its administrative capabilities to ensure seamless operations, strong family communication, and continued excellence in care delivery.
Schedule: Monday - Friday, 9 am-2 pm, Australian Eastern Time (25 hours per week)

Key Responsibilities
Executive & Administrative Support
- Manage calendars, appointments, and meeting scheduling for leadership
- Handle email management, correspondence, and document preparation
- Proofread and refine all communications sent to families to ensure clarity and professionalism
- Organize and maintain digital files, reports, and internal documentation
- Coordinate with staff, parents, and external partners as required
- Assist with project coordination, task tracking, and operational follow-ups
- Support onboarding processes for new staff members
- Perform general administrative and operational support tasks
Compliance & Operations Support
- Process and issue staff and family contracts using established templates
- Maintain accurate staff registers and attendance tracking systems
- Review and verify staff documentation uploads for completeness and compliance
- Track certification and document expiry dates, sending renewal reminders
- Ensure documentation and processes align with regulatory requirements
- Support recruitment coordination, including scheduling interviews
Digital Marketing & Communications
- Create and schedule social media posts and email newsletters
- Assist with basic graphic design using Canva or similar tools
- Support digital campaigns, promotions, and community announcements
- Monitor engagement and provide basic performance reports
Requirements
- 3+ years of experience in an Executive Assistant, Administrative, or similar role
- Excellent written English skills with strong attention to detail
- Proven experience managing calendars, emails, and documentation
- Experience with compliance tracking, record management, or regulated environments
- Familiarity with digital tools such as Canva and email marketing platforms
- Strong organizational and time management skills
- Ability to work independently in a remote environment while maintaining clear communication
- High level of discretion and ability to handle confidential information
- Reliable internet connection and professional home office setup
Nice to Have
- Experience in childcare, education, or other regulated industries
- Familiarity with Australian business practices or previous experience supporting Australian clients
- Basic understanding of social media analytics and content performance
