Job Description:

You’ll be the organizational backbone for a busy managing director, transforming email chaos into streamlined productivity. This isn’t just about managing an inbox – you’ll become an essential partner in daily operations, ensuring nothing important gets missed while freeing up leadership time for strategic work. You’ll master complex email workflows, coordinate across teams, and provide the executive support that keeps a growing solar business running smoothly.

Client Overview:

Join a growing solar energy company that’s making a real impact in renewable energy. This established business has multiple team members, structured processes, and is scaling operations while maintaining focus on sustainable energy solutions. You’ll work directly with the managing director in a company that values efficiency and clear communication.

Schedule:

  • Monday to Friday, 8:00 AM - 5:00 PM, Queensland, Australian Eastern Standard Time (4o hours per week)

Key Responsibilities

1. Inbox & Communication Management

  • Triage executive inbox daily using established protocols
  • Flag only strategic, legal/risk-related, or urgent matters requiring executive input
  • Draft professional responses for executive approval
  • Monitor and follow up on unanswered emails
  • Maintain structured email folder systems and filing taxonomy
  • Provide a concise daily summary highlighting priority items requiring attention

2. Calendar & Meeting Management

  • Schedule, confirm, and coordinate internal and external meetings
  • Prepare short meeting briefs outlining purpose, context, and desired outcomes
  • Protect executive “deep work” time by managing scheduling boundaries
  • Send post-meeting follow-ups and action summaries
  • Coordinate across departments to align schedules and priorities

3. Compliance & Risk Tracking

  • Maintain training and licence registers
  • Track improvement notices, safety items, and compliance deadlines
  • Maintain incident documentation and related records
  • Monitor contract and tender submission deadlines
  • Ensure documentation is current, organized, and audit-ready

4. Administrative & Operational Support

  • Organize and maintain digital file systems and document repositories
  • Prepare reports, summaries, presentations, and meeting materials as required
  • Attend meetings when necessary and record detailed minutes
  • Coordinate travel arrangements, bookings, and logistics
  • Screen and manage incoming calls
  • Support special projects and cross-functional initiatives

Requirements

  • 2–3 years of Executive Assistant experience, preferably supporting C-suite or senior leadership
  • Demonstrated experience managing high-volume executive inboxes
  • Strong calendar governance and scheduling management capability
  • Excellent written and verbal English communication skills
  • Proficiency in Microsoft Outlook and standard productivity tools
  • Experience with AroFlo highly desireable
  • High level of discretion and confidentiality
  • Strong organizational systems mindset and attention to detail
  • Ability to work independently and manage multiple priorities

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
