Construction Operations Administrator

Role Overview:

We are seeking a detail-oriented and proactive Construction Operations Administrator to manage the critical documentation and procurement workflows that keep our projects on track. You will be the primary point of contact for project logistics, ensuring that safety standards are met before we break ground and that clients receive professional handover manuals upon completion.

Schedule:

  • Mondays to Fridays, 9:00 am to 6:00 pm (Australian Eastern Time), with a 1-hour unpaid break (40 hours per week)

Key Responsibilities:

  • Project Documentation & Compliance:
    • Prepare and edit comprehensive Pre-construction Safety Documentation.
    • Develop and update Safe Work Method Statements (SWMS) to ensure site compliance.
    • Compile and complete Post-Project Operation Manuals for final client handover.
    • Maintain and edit various construction-related documents to ensure accuracy and professionalism.
  • Procurement & Supply Chain:
    • Manage the end-to-end material ordering process, from initial requisition to delivery follow-up.
    • Coordinate with suppliers to ensure materials arrive on site on time and within budget.
    • Liaise directly with the Project Manager to facilitate urgent orders and troubleshoot supply chain delays.
  • Communication & Coordination:
    • Maintain open, daily communication channels with leadership to provide real-time updates on product availability and order status.
    • Act as the administrative "hub" between the office and the field.

Required Skills and Qualifications:

  • Industry Experience: Proven experience in a construction or trades administrative role.
  • Safety Literate: Solid understanding of SWMS and general construction safety protocols.
  • Organization: High-level attention to detail—you’re the person who catches the typo in a safety doc and the missing item in a bulk order.
  • Communication: Strong verbal and written skills; you should be comfortable chasing down suppliers and providing clear updates to the team.
  • Tech Savvy: Proficient in document editing software and digital procurement tools.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
