Job Overview

You’ll be the organizational backbone for a thriving multi-location cafe business, handling everything from creative menu formatting to systematic process documentation. This role offers incredible variety—one day you’re designing professional menus in Canva, the next you’re streamlining onboarding processes or managing executive calendars. You’ll work directly with the business owner to support expansion efforts while building systems that scale.

Client Overview

This growing company is professionalizing operations while scaling from two to three locations, creating exciting opportunities for administrative support during a pivotal growth phase.

Schedule

  • Monday, Wednesday and Friday, Flexible during business hours, Melbourne, Australia (AEDT), 20 hours per week

Responsibilities

  • Design and format professional cafe menus using Canva with provided content, pricing, and branding elements
  • Develop comprehensive staff handbooks, organizational charts, and company vision/values documentation
  • Manage new employee onboarding processes including email coordination and document preparation
  • Create and maintain operational spreadsheets across multiple business locations
  • Provide executive calendar management and meeting coordination support
  • Handle email management and administrative communications
  • Support general business administration tasks during expansion to third location
  • Organize and format business documentation for professional presentation

Requirements

  • Proficiency in Microsoft Word and Excel for document creation and data management
  • Experience with Canva or similar design platforms for basic graphic design tasks
  • Strong organizational skills with ability to manage multiple projects simultaneously
  • Excellent written communication skills for email management and documentation
  • Self-directed work style with ability to operate independently
  • Bonus if you have experience with hospitality or food service industry operations

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
