Residential Construction Project Administrator

Role Overview

The Project Administrator plays a critical role in supporting the successful delivery of approximately 25 low-rise SDA residential projects, in addition to supporting high-rise developments. This position is responsible for overseeing the full administrative function across multiple concurrent projects, ensuring document control, financial administration, compliance coordination and system organisation are executed with precision. While our delivery team focus on completing projects on-site, this role ensures the administrative scope is proactively managed, structured and audit-ready at all times.

Schedule

  • Monday to Friday, 9:00 am - 6:00 pm Sydney time, with 1hr break (40 hours per week)

Key Responsibilities

  • Provide end-to-end administrative support across multiple concurrent residential projects.
  • Maintain project registers including drawing registers, consultant registers, RFI logs, variation registers and approval trackers.
  • Maintain strict document control ensuring latest versions of drawings, reports, quotes, invoices, purchase orders and certificates are accurately filed.
  • Archive superseded documentation to prevent site errors.
  • Create and issue Purchase Orders (POs) to suppliers and contractors.
  • Maintain an accurate PO register aligned with project budgets.
  • Cross-check invoices against approved quotes, POs and contract values.
  • Coordinate demolition permits and authority approvals.
  • Liaise with authorities, consultants and builders to track approvals and certificates.
  • Coordinate SDA As-Built letters and compliance documentation at completion.
  • Liaise with builders to manage the close-out process for all reported SDA & building defects.
  • Take ownership of project folder structures and system consistency across all developments.
  • Identify process improvements and administrative efficiencies.

  • Reduced administrative burden on Project Managers & coordinators.
  • Management & close out of building defects within a 90-day period
  • Accurate and timely processing of POs and invoices.
  • Demolition permits and compliance approvals secured without delay.
  • All SDA certification documentation obtained and properly filed.
  • Zero document control errors with all drawings and documentation correctly version managed.
  • Structured, audit-ready digital project systems (Visibuild)

Requirements

  • 2–5+ years’ experience in project administration (construction or development preferred).
  • Experience supporting residential construction projects (low-rise and/or high-rise desirable).
  • Familiarity with construction documentation, purchase orders and compliance tracking.
  • Strong proficiency in Microsoft Office Suite and document management systems.
  • Experience using project management platforms (e.g., Procore, Aconex, Monday or similar) highly regarded.
  • Exposure to SDA compliance requirements desirable but not essential.
