We are seeking a highly organized and proactive Executive Assistant to provide direct support to our team. This role is critical in ensuring smooth daily operations by managing schedules, coordinating communications, conducting research, and keeping the executive organized and focused on strategic priorities.
The ideal candidate is detail-oriented, resourceful, and able to anticipate needs in a dynamic design environment.
Job Highlights
Number of Paid Hours Per Week: Full-time (40 hours)

Responsibilities
Executive Support
- Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and design consultations
- Coordinate internal and external meetings, ensuring all materials and details are prepared in advance
- Prioritize and manage daily tasks to keep the executive organized and on schedule
Communication & Email Management
- Monitor and manage incoming emails
- Draft, respond to, and organize correspondence on behalf of the executive
- Flag urgent matters and ensure timely follow-ups
Research & Administrative Support
- Conduct research related to vendors, materials, industry trends, client background information, and project needs
- Prepare summaries and organized reports based on research findings
- Assist with document preparation and general administrative tasks
Organization & Workflow Support
- Maintain digital organization systems for files, documents, and communications
- Track deadlines and key milestones
- Help streamline processes and improve productivity
Requirements
- Strong attention to detail with high accuracy
- Excellent time management and prioritization skills
- Proficient in email platforms and calendar applications (e.g., Gmail, Outlook, Google Calendar)
- Strong written and verbal communication skills
- Ability to multitask and work independently
- Highly organized and proactive
- Comfortable working in a fast-paced, creative environment
Preferred Qualifications
- Previous experience supporting an executive, entrepreneur, or business owner
- Experience working with creative or design-focused teams is a plus
- Strong research and analytical skills
- Tech-savvy and adaptable to new tools
Side Note
Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
