Position Overview

We are seeking a detail-oriented Administrative Assistant to provide direct support to the business owner across email management, scheduling, HR documentation, and operational tracking. This role requires strong organizational skills, proficiency in Excel, and the ability to work independently while managing both personal and business administrative tasks. The ideal candidate is proactive, highly organized, and capable of maintaining accurate records, structured filing systems, and clear communication in a remote work environment.

 

Responsibilities:

  • Review and manage both personal and business emails for the business owner
  • Schedule events and appointments based on business needs
  • Review employee timesheets for accuracy and reconcile discrepancies
  • Proactively develop work schedules for staff and reconcile with actual hours worked
  • Draft employment contracts for new hires
  • Request, collect, and organize hiring documents in Google Drive with proper filing systems
  • Draft email replies and initiate new correspondence based on provided instructions
  • Organize daily business outcomes into Excel activity logs with action items and follow-up tasks for future reference

 

Requirements:

  • Proficiency in Excel for creating activity logs and timesheet reconciliation
  • Strong email management and written communication skills
  • Experience with Google Drive organization and file management
  • Ability to work independently with minimal supervision
  • Strong attention to detail for timesheet and contract accuracy
  • Basic understanding of HR documentation processes
  • Reliable internet connection and professional work setup
