Senior Bookkeeper – Multi-Entity QuickBooks & Financial Operations

Overview

We are seeking an experienced Bookkeeper / Financial Operations Specialist to take ownership of financial operations across five business entities. This role will focus on cleaning up backlogged books, managing day-to-day accounting functions, and providing strategic financial insights to help optimize profitability.

This is an excellent opportunity to make a direct impact in a high-volume service-based business by identifying cost-saving opportunities, improving processes, and supporting financial strategy.


Job Highlights

Number of Paid Hours Per Week: 35–40 hours
Schedule: Monday to Friday, 9:00 AM – 6:00 PM EST (1-hour unpaid break)
Work Arrangement: Work from home

Responsibilities

  • Manage QuickBooks Online for 5 business entities with varying complexity levels
  • Catch up on 5 months of backlogged bookkeeping and organize 2025 financial records
  • Handle accounts receivable tracking and follow-ups using Service Desk software
  • Manage parts credits from manufacturers through the F3 software system
  • Categorize daily transactions including credit cards, payroll entries, and business expenses
  • Track payments and ensure all invoiced claims are properly collected
  • Provide cost analysis and financial insights to determine service call profitability
  • Analyze expenses (shipping, maintenance, parts, labor) to identify savings opportunities
  • Work directly with business owners on financial strategy and optimization


Requirements

  • Strong experience with QuickBooks Online (essential)
  • Must have a Windows OS computer
  • Accounting background with ability to provide financial analysis and business insights
  • Experience with accounts receivable management and collections
  • Ability to quickly learn new software systems (Service Desk, F3)
  • Excellent English communication skills for regular interaction with business owners

Nice-to-Have:

  • Experience with service-based businesses
  • Familiarity with multi-entity accounting structures


Side Note

Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
