Administrative Assistant – Insurance Operations | Remote | Immediate Start

Role Name: Administrative Assistant

Schedule: 40 hours per week; Monday to Friday 8:30am to 5:30pm with one hour of unpaid break

Client Overview: A growing insurance agency with dedicated sales and service teams serving clients across multiple markets. The agency operates sophisticated CRM systems and maintains high standards for client communication and data management. They’re expanding their support infrastructure to better serve their growing client base and streamline operations.

Job Description: You’ll become the operational backbone of a dynamic insurance agency, taking ownership of critical administrative processes that directly impact client satisfaction and sales performance. This role offers the perfect blend of data management, client communication, and process optimization. You’ll work across multiple platforms, support both sales and service teams, and play a key role in maintaining the agency’s reputation for excellence and attention to detail.

Responsibilities:

  • Manage and update multiple CRM systems for sales and service teams with precision and consistency
  • Handle comprehensive quote log management including lead sources, results, profile data, and quality metrics
  • Fact-check and clean up information entered by Licensed Sales Producers to ensure data accuracy
  • Upload referrals correctly into both quote log and service CRM systems following established protocols
  • Set up and manage automated billing reminders and payment notification systems
  • Send targeted text messages for appointment scheduling, renewals, and payment reminders
  • Create and execute email campaigns, drip sequences, and templates for promotions and client education
  • Maintain and update critical spreadsheets, time tracking systems, and operational databases
  • Perform detailed data entry and organization tasks across multiple software platforms
  • Follow step-by-step video training guides and standard operating procedures with consistency

 

  • Requirements:
    You bring strong technology skills and can navigate multiple platforms efficiently with minimal supervision.

  • You have experience with CRM systems and database management, along with excellent attention to detail for data entry and fact-checking tasks.

  • You’re proficient with spreadsheet applications and data organization tools. You can follow detailed instructions and standard operating procedures while maintaining quality standards.

  • You have strong written communication skills for managing text messaging and email campaigns.

  • You work independently and manage multiple tasks simultaneously without losing focus. Bonus if you have insurance industry experience or familiarity with compliance requirements.

  • It helps if you’re comfortable with AI tools and automation platforms.
