Role Overview
We are seeking a detail-oriented and proactive Personal Injury Legal Assistant / Records & Property Damage Coordinator Support to assist its personal injury legal team. This role is critical in ensuring smooth case progression by managing medical records, coordinating demand distribution, and handling property damage-related matters. The ideal candidate has experience working in legal or insurance environments, excels at follow-ups, and is comfortable handling sensitive documentation with accuracy and confidentiality. Spanish translation support is an essential part of this role.
Key Responsibilities
- Support the personal injury legal team with demand distribution
- Prepare and send demands to insurance companies via email and fax
- Manage medical records requests, including tracking and following up on long-hold requests
- Coordinate with medical record providers such as CIOX, Banner, HonorHealth, Dignity Health, Sharecare, MRO, and similar vendors
- Track, monitor, and update the status of medical records and follow-ups to ensure timely receipt
- Monitor and manage the medical records email inbox
- Save, organize, and distribute incoming faxes, voicemails, and mail accurately and promptly
- Handle property damage matters, including:
- Communication with insurance companies
- Check follow-ups
- Letters of Undertaking (LOUs)
- Deductible reimbursements
- Property Damage (PPD) reimbursements
- Provide Spanish translation support for client communications and documentation as needed
- Maintain organized and up-to-date records while ensuring confidentiality and compliance with legal standards
Required Skills & Experience
- Prior experience as a legal assistant, records coordinator, or property damage coordinator, preferably in a personal injury law firm
- Strong understanding of medical records requests and follow-up processes
- Experience communicating with insurance companies
- Proficiency in email and fax correspondence
- High attention to detail and strong organizational skills
- Ability to manage multiple tasks and deadlines simultaneously
- Strong written and verbal communication skills
- Spanish-English bilingual proficiency (required)
Preferred Qualifications
- Familiarity with U.S. personal injury case workflows
- Experience working remotely with U.S.-based legal teams
- Exposure to case management or document management systems
- Prior experience handling LOUs, PPD claims, and reimbursements
