We are seeking a highly capable Business Operations & Process Specialist to provide critical support to a leading Australian engineering and construction services client. This is not a passive administrative role; it is a position of ownership and accountability. You will be the cornerstone of internal workflow management, responsible for the creation, documentation, and continuous improvement of key business processes. Your work will ensure operational excellence, compliance, and seamless project execution in a dynamic, technical environment.

We need an autonomous leader who can take full responsibility for this function with minimal daily supervision, acting as the primary steward of our client's operational frameworks.

Key Responsibilities
Process Ownership & Documentation

  • Lead the creation, revision, and maintenance of all Standard Operating Procedures (SOPs), work instructions, and detailed process maps (using tools like Draw.io/Lucidchart).

  • Establish and manage a centralized, accessible repository for all process documentation, ensuring version control and company-wide adherence.

  • Serve as the definitive subject matter expert for documented operational workflows.

Operational Coordination & Accountability

  • Manage and optimize task-tracking platforms (e.g., Asana), taking accountability for monitoring timelines, deliverables, and cross-functional dependencies.

  • Proactively identify, analyze, and flag bottlenecks or risks; recommend and implement solutions.

  • Track, report, and analyze key process metrics to drive data-informed operational decisions.

Compliance & Systems Leadership

  • Uphold and enforce internal controls, quality standards, and documentation protocols critical to the engineering and construction sector.

  • Lead the onboarding and training of new staff on core operational tools and documented processes.

  • Ensure all operational activities align with compliance requirements and audit readiness.

Continuous Improvement & Initiative

  • Continuously evaluate existing processes to identify and champion opportunities for optimization, automation, and efficiency gains.

  • Proactively collaborate with team leaders to gather feedback and implement process improvements without waiting for direction.

  • Drive special projects focused on workflow streamlining and operational excellence.

Requirements & Qualifications (Non-Negotiable)

  • Education: Bachelor’s degree in Business Administration, Industrial Engineering, Operations Management, or a directly related field.

  • Experience: Minimum of 3 years of hands-on experience in business operations, administrative support, or process documentation and mapping.

  • Core Competency: Proven, demonstrable experience in writing, creating, and revising Standard Operating Procedures (SOPs) and process maps.

  • Mindset: A proactive, independent contributor who takes full ownership and accountability. You must be a self-starter capable of working autonomously, managing your priorities, and delivering results without daily instruction.

  • Skills: Exceptional organizational skills and meticulous attention to detail.

  • Tools: High proficiency in Asana (or similar), Draw.io/Lucidchart, and Google Workspace/MS Office.

  • Setup: A professional home office with a stable, high-speed internet connection.

Preferred Qualifications

  • Experience within the engineering, construction, manufacturing, or related project-based industries.

  • Familiarity with ISO standards, quality management systems, or compliance frameworks.

  • Basic understanding of project management principles.
