We are seeking an Administrative Assistant to provide critical support across multiple food service business entities. This role combines administrative tasks with customer service responsibilities, including document management, invoicing, and account support. You’ll have direct impact on operational efficiency while working remotely with a growing team in a fast-paced, multi-company environment.

Responsibilities

  • Manage document preparation and filing systems across multiple company entities
  • Process and manage invoices accurately and timely
  • Handle customer account management and maintenance
  • Conduct customer service calls and respond to inquiries professionally
  • Navigate and coordinate multiple digital platforms and administrative systems
  • Support backend operations and routine administrative workflows
  • Assist with sales-related administrative tasks and documentation
  • Maintain organized records and ensure smooth operational processes

Requirements

  • Proficiency in Microsoft Word and Excel for document creation and data management
  • Experience with Adobe products and DocuSign for document processing
  • Strong English communication skills and experience handling customer phone interactions
  • Previous customer service or receptionist experience, particularly with US customers
  • Ability to manage multiple administrative systems and platforms efficiently
  • Strong organizational skills and ability to multitask in a fast-paced environment
  • Bonus: Experience in food service or multi-company operations
  • Helpful: Comfort with rapid onboarding and immediate productivity

Side Note

Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, selected candidates must have their own computer and reliable internet connection. Contractors are responsible for their own benefits and taxes. Professional fees are hourly and depend on performance during the application process.
