Overview
We are seeking a detail-oriented Administrative Support Specialist to join a growing electrical and solar energy company in Western Australia. This role focuses on managing solar applications, rebate documentation, job checklists, and day-to-day administrative operations using cloud-based systems. The ideal candidate is organized, tech-savvy, and willing to learn specialized solar and electrical software while supporting a fast-growing renewable energy business.
Job Highlights
Number of Paid Hours Per Week: 40 hours per week
Schedule: Monday to Friday, 7:00 AM – 4:00 PM (Western Australia Time)

Responsibilities
- Submit solar applications to relevant platforms and authorities
- Manage solar STC rebate jobs and finalize documentation for rebate claims
- Complete solar job completion administrative checklists
- Update spreadsheets as required
- Maintain and monitor online solar monitoring platforms
- Track and ensure plant and equipment maintenance logs are current
- Organize and manage email inboxes, ensuring timely communication and follow-ups
- Perform daily job checks using ServiceM8, including:
- Reviewing completed jobs and ensuring checklists are finalized
- Confirming jobs are marked complete or queued correctly with field staff assistance
- Ensuring no scheduled jobs are missed
- Monitoring the ServiceM8 inbox and customer correspondence for timely responses
- Assist team members with material ordering
Future Training Opportunities:
- Pylon Solar Software – Solar system designs, estimations, and proposals
- Ground-plan Electrical Software – Electrical estimation, interpreting drawings, and performing takeoffs
- Phone call handling – Answering calls, scheduling technicians via ServiceM8, and forwarding inquiries to the appropriate team member
Requirements
- Familiarity with ServiceM8, Google Drive, and Asana (or willingness to learn)
- Strong written and verbal communication skills
- High attention to detail and strong organizational skills
- Willingness to learn Formbay, Pylon, and Groundplan software
Side Note:
Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. Professional fees are on hourly rates and the rate depends on your performance during the application process.
