Organization & Accounting Administrator


Position Summary
The Accounting & Operations Administrator provides high-level administrative, operational, and project support across the organization, with a strong focus on supporting accounting processes and improving team capacity. This role works closely with accounting, payroll, and cross-functional teams to ensure accurate financial support, smooth month-end close preparation, effective communication, and well-organized internal operations.

A strong working knowledge of bookkeeping, general ledger accounting, and GAAP standards is essential to support accurate and efficient internal processes, while the role itself remains administrative and operational in nature rather than a lead accounting position.

Key Responsibilities
1. Accounting & Financial Process Support
Support weekly transaction activity to ensure timely, accurate, and complete financial records
Assist with bookkeeping and general ledger support, including bank and account reconciliations
Use accounting tools such as QuickBooks Online, Bill.com, Divvy, and related platforms accurately and consistently
Maintain active and accurate charts of accounts in client-facing and internal systems to minimize miscoding
Support month-end close activities by ensuring tasks, documentation, and reconciliations are completed accurately and on time
Assist with accrual-based accounting and GAAP-compliant reporting needs through accurate administrative support
Troubleshoot accounting and process issues and provide ad hoc administrative assistance as needed

2. Special Projects & Team Support
Execute special projects across departments, ensuring accuracy, timeliness, and alignment with objectives
Communicate project progress proactively and maintain clear documentation
Balance project deadlines with recurring administrative and accounting responsibilities
Adapt quickly to shifting priorities while maintaining a high standard of accuracy and quality
Collaborate with team members to support shared goals and organizational needs
Maintain accountability for follow-through, outcomes, and continuous process improvement
Develop, follow, and reinforce documented processes and policies to support consistency and scalability

3. Organizational & Cross-Department Administrative Support

Provide proactive administrative and operational support across accounting, payroll, sales, marketing, and leadership teams
Manage shared inboxes, internal communications, task follow-ups, and coordination with clarity and responsiveness
Perform accurate data entry and ongoing maintenance for CRM, sales, marketing, and internal systems
Support accounting and payroll teams with administrative tasks to reduce bottlenecks and improve efficiency
Anticipate needs and organize details so projects move forward without delays
Maintain clean, reliable systems, software, and documentation that are easy for the team to use

Required Qualifications

Strong understanding of bookkeeping and general ledger accounting
Knowledge of bank and account reconciliations
Working knowledge of GAAP standards and accounting best practices
Experience supporting accrual-based accounting processes
High level of attention to detail, organization, and deadline management
Strong written and verbal communication skills, including proactive status updates
Ability to manage multiple priorities, projects, and deadlines simultaneously
High responsiveness, professionalism, and follow-through
Comfortable using accounting and operational tools (e.g., QBO, Bill.com, Divvy, CRM systems)
