Role Overview
We are seeking a detail-oriented and patient-focused Medical Receptionist to support our growing weight loss clinic. This role serves as the frontline of patient engagement, acting as the primary point of contact for inquiries, onboarding, and ongoing communication. You will play a key role in guiding prospective patients through their weight loss journey while ensuring seamless administrative and clinical support for the care team.
The ideal candidate is empathetic, organized, tech-savvy, and confident in communicating with patients across digital platforms in a healthcare setting.
Responsibilities
- Serve as the primary point of contact for patient inquiries through Facebook Messenger and other digital communication channels
- Engage in meaningful conversations with prospective patients to understand their weight loss goals and guide them toward appropriate treatment packages
- Educate patients about clinic services, treatment options, and standardized care protocols
- Process refill requests from existing patients following established clinical procedures
- Generate and send secure payment links for selected treatment packages
- Conduct proactive follow-up outreach to prospective patients who have shown initial interest but haven’t completed their enrolment
- Perform essential administrative tasks including appointment scheduling, treatment package tracking, and payment record maintenance
- Organize and prepare patient information for final review and prescription approval by the clinic physician
- Support patients throughout their weight loss journey with ongoing communication and care coordination
Qualifications and Requirements
- Previous experience as a Medical Receptionist, Healthcare VA, Patient Coordinator, or similar role for 1-2 yrs
- Strong written and verbal English communication skills
- Excellent interpersonal skills with a patient-first, empathetic approach
- High attention to detail and strong organizational skills
- Ability to manage multiple conversations and tasks simultaneously
- Comfortable using digital communication tools, CRM systems, and scheduling platforms
- Ability to follow standardized workflows and clinical protocols accurately
- Reliable internet connection and a quiet, professional work environment
- Availability to work US business hours (EST) consistently
Nice to Have
- Experience working in a weight loss, wellness, telehealth, or medical clinic
- Familiarity with HIPAA guidelines and patient data privacy
- Experience handling online payments or billing coordination
- Background in sales support, patient intake, or customer success
- Experience engaging patients through social media or chat-based platforms
