Administrative Assistant (Go High Level)

Schedule:

  • 40 hours per week
  • Monday to Friday 9:00 am to 6:00 pm with one hour of unpaid break at 12pm
  • Client Timezone: Eastern Time (Pennsylvania)

You’ll be supporting a fast-paced venue that creates memorable experiences for weddings, birthdays, corporate events, and special celebrations.

Job Description: 

You’ll be the first point of contact for potential clients looking to book their special events, making you essential to converting inquiries into bookings. This role offers the perfect blend of CRM management, customer service, and administrative support in the exciting event industry. You’ll work directly with Go High Level systems while ensuring rapid response times that help capture more business and create exceptional customer experiences.

Responsibilities:

  • Process 10-15 daily leads into Go High Level database with 3-minute turnaround per entry
  • Monitor and advance 40+ active prospects through automated sales pipelines
  • Respond to customer inquiries and booking requests via Go High Level email system
  • Schedule venue tours and appointments using integrated calendar management tools
  • Manage executive email inbox including spam removal, unsubscribing, and organization
  • Coordinate calendar bookings across multiple team members and company profiles
  • Send personalized email responses using templates and AI-assisted communication
  • Maintain three separate company profiles within the Go High Level platform
  • Perform general administrative tasks during lower-volume periods
  • Ensure rapid response times to capture leads before they choose competitors

Requirements:

  • Experience with Go High Level CRM platform (highly preferred - this is a game changer)
  • Strong English writing and communication skills for customer-facing interactions
  • Proficiency with web-based applications and CRM systems navigation
  • Ability to work US Eastern Time hours with consistent availability
  • Experience with email management and calendar scheduling platforms
  • Detail-oriented approach to accurate data entry and lead processing
  • Customer service mindset for prospect communications
  • Bonus if you have experience in event planning, hospitality, or venue management
  • It helps if you’re comfortable with AI-assisted writing tools and email automation
