Virtual Admin Assistant – Creative Agency Support | Remote | Flexible Schedule

Role Name: Creative Operation Assistant

Schedule: 20 hours per week; 4 hours per day, 5 days per week with flexible daily scheduling based on PST - Los Angeles

Job Description: Step into a versatile role where you’ll be the organizational backbone and creative support system for a thriving boutique agency. You’ll wear multiple hats, seamlessly blending administrative excellence with social media creativity to keep operations running smoothly while contributing to the agency’s creative output. This role offers the perfect opportunity to develop diverse skills while making a meaningful impact in a close-knit, collaborative environment where your work directly supports both internal efficiency and client success.

Responsibilities:

  • Graphic & Web Design
    ● Building/updating pages in Wix and creating visual assets in Canva or Adobe.
    Executive Support
    ● Managing your calendar, booking meetings, and handling travel/logistics.
    Email Management
    ● Filtering your inbox, responding to FAQs, and maintaining organized filing.
    Admin & Communication
    ● Client onboarding, vendor coordination, and general project management.
    Backend Ops
    ● Keeping the CRM updated and ensuring workflows are followed.
    Updating and editing existing portfolio websites, WIX, Behance, Linkedin.
    Updating and editing existing branding assets, PDF's and treatment decks.
    Build out new artist templates and assets in Canva or Adobe.
    Build out and generate agency newsletters in Campaign Monitor.

Requirements

  • You bring strong organizational skills and proven experience in administrative support roles.
  • You have demonstrated social media management experience with a portfolio showcasing your content creation abilities. (APPLICATIONS WITH PORTFOLIOS WILL BE PRIORITIZED)
  • Proficiency in graphic design tools and content creation platforms is essential, along with excellent written and verbal communication skills.
  • You’re comfortable working independently, managing multiple priorities, and adapting to changing needs.
  • Bonus if you have experience with executive assistant duties, project management tools, or working in creative agency environments.
  • It helps if you’re familiar with client communication and vendor coordination.
