Tenancy Team Coordinator

  • Monday to Friday, 9am to 6pm, Sydney AU time

  • 40 hours per week

 

Overview
The Tenancy Team Coordinator provides administrative, operational, and customer-service support to the Tenancy Management team. Under the direction of the National Tenancy Manager, this role is responsible for monitoring and administering Monday.com boards to ensure the team provides timely responses to tenant enquiries, complaints management and service requests. This function is essential in supporting a positive experience for tenants, landlords, and both internal and external stakeholders. The role assists the National Tenancy Manager by ensuring tenancy processes are completed accurately and efficiently in accordance with agreed policies and procedures. It also contributes to internal documentation audits, month-end reporting, and ensuring the team meet agreed timeframes. The position helps maintain strong stakeholder relationships by supporting effective and timely communication, including bulk mail-outs and personalised correspondence. Additionally, the role provides secretarial support to the National Tenancy Manager for internal and external meetings—preparing agendas, documenting actions, and following up to ensure completion. From time to time and as required, the role provides administrative coverage for Tenancy Officers, who are on leave or out of the office for extended periods due to other work- related priorities. This includes monitoring emails, responding to or escalating issues, and answering redirected phone calls.

 

Responsibilities

  • Provide secretarial support to the Complaints Resolution Team and proactively manage the Complaints Management Board.

  • Monitor, report, maintain accurate records in Tenancy Team Monday.com boards - daily / weekly.

  • Assist the National Tenancy Manager in coordinating communication with internal and external stakeholders and providing tenancy updates as required.

  • Assist the National Tenancy Manager with preparing reports, correspondence, and data for management and stakeholders.

  • Under the guidance of the National Tenancy Manager Provide timely, professional responses to tenants, landlords, contractors, and internal team as instructed.

  • Contribute to continuous improvement of tenancy processes and systems.

  • Act as a first point of contact for tenant enquiries by monitoring the cleint's inbox and escalate matters as required.

  • On a requested basis, support rent reviews, arrears management, and reporting in the absence of Tenancy Officers (e.g. annual leave, limited capacity, staff change).

  • Assist with scheduling inspections, meetings, and contractor visits for Tenancy Team as in the absence of tenancy officers.

  • Support tenancy officer with administrative tasks related to repairs, maintenance, and operations when their capacity is limited.

 

Requirements

  • Strong administrative and organisational skills - required

  • Ability to interpret tenancy documentation and basic legislative requirements - desirable

  • Proficiency in Microsoft 365 applications, CRM (Monday.com) and property management software – required

  • Clear and professional communication (written and verbal).

  • Strong customer service orientation.

  • Ability to work collaboratively across multiple teams.

  • High attention to detail and accuracy.

  • Proactive and able to prioritise competing tasks.

  • Discreet with confidential information.

  • Flexible and responsive to changing requirements.

  • Previous experience in administration, customer service, or coordination roles.

  • Strong computer literacy and document-handling capabilities.

Desirable

  • Experience in property, facilities, or tenancy management.

  • Knowledge of relevant tenancy legislation.

  • Certificate or qualification in property or business administration (preferred but not essential)
