Role Overview
We are seeking a highly dependable and professional Executive Assistant to support a founder in a fast-growing, founder-led business. This role is critical to ensuring smooth day-to-day operations, protecting executive time, and maintaining a polished and professional brand presence.

The ideal candidate is someone in a growth phase of their career, looking for long-term stability, skill development, and the opportunity to grow alongside the business. This role starts with strong backend and administrative support, with the potential to gradually transition into light client-facing and coordination work as trust and familiarity grow.

Key Responsibilities
Executive & Administrative Support

  • Provide day-to-day administrative support to the founder, including calendar management, scheduling, and inbox organization
  • Coordinate meetings across time zones and prepare agendas or summaries when needed
  • Handle document preparation, file organization, and internal tracking systems
  • Assist with personal administrative tasks as required (discretion is essential)

Operations & Organization

  • Maintain internal systems and documentation using tools like Google Workspace and Notion
  • Track tasks, follow-ups, and priorities to ensure nothing falls through the cracks
  • Support workflow optimization and process improvements
  • Liaise with internal team members or contractors as directed

Communication & Brand Support

  • Draft, proofread, and edit emails, internal communications, and light external correspondence
  • Ensure all communications align with the founder’s voice, tone, and brand standards
  • Maintain a professional, conservative public-facing presence aligned with brand values

Social Media & Creative Support

  • Provide backend support for social media (content scheduling, research, light creative input)
  • Assist with organizing ideas, captions, or content calendars
  • Stay aware of trends while maintaining brand-appropriate professionalism

Qualifications and Requirements

  • Strong English communication skills (both written and spoken)
  • Prior experience as an Administrative Assistant or Executive Assistant for at least 1-2 years
  • Highly organized, detail-oriented, and proactive with strong follow-through
  • Comfortable supporting a founder or public-facing executive
  • Demonstrated professionalism, discretion, and ability to handle confidential information
  • Ability to work full-time on EST hours (9 AM – 6 PM EST)
  • Reliable internet connection and a distraction-free remote work setup

Nice to Have

  • Experience working with founders, CEOs, or startups
  • Familiarity with Google Workspace, Slack, Notion, or similar productivity tools
  • Social media savvy with creative or content coordination experience
  • Experience supporting international or US-based clients
  • Interest in learning client communication and relationship management over time
