Role Name: Property Management Assistant
Schedule: 20 hours per week with potential to scale to 40 hours per week as business expands

Job Description: You’ll become the operational backbone for a growing property management company, handling the critical administrative tasks that keep multiple properties running smoothly. This role offers the perfect blend of financial management, tenant relations, and business development support. You’ll work directly with the business owners, gaining comprehensive experience across all aspects of property management while having the opportunity to grow with a company that’s actively expanding its portfolio.
Responsibilities:
- Label and categorize bank movements by downloading Excel sheets and accurately coding transactions for multiple properties
- Complete lease agreements and process lease renewals for tenants across the portfolio
- Manage work orders by coordinating with vendors and following up with tenants to ensure timely completion
- Organize and file documents when receiving property offers and managing related paperwork
- Make outbound calls to leads to schedule property showing appointments and support business development
- Maintain accurate records and documentation across cloud-based systems and Excel spreadsheets
- Provide comprehensive administrative support to streamline daily operations
- Support the expansion process as the company acquires new properties
Requirements:
- Fluent bilingual proficiency in English and Spanish (required for Miami market)
- Strong attention to detail and organizational skills with a methodical approach to tasks
- Self-motivated with ability to work independently and take ownership of responsibilities
- Accounting or bookkeeping background preferred for financial transaction management
- Sales experience preferred for lead calling and appointment setting responsibilities
- Property management or real estate industry experience strongly preferred
- Proficiency with Excel, cloud-based systems, and basic computer applications
- Reliable internet connection and professional work environment
- Bonus if you have experience with property management platforms or CRM systems
- It helps if you’re comfortable with electronic signature platforms and document management
