Job Description:
You’ll be the organizational backbone supporting daily operations for a dynamic property management team. This role puts you at the center of vendor coordination, tenant communications, and financial processes that keep commercial properties running smoothly. You’ll work independently in a remote environment while collaborating with a team that values efficiency and professional communication. Responsibilities:
- Create and update service contracts and purchase orders using Word document templates with precise attention to detail
- Input key project information including dates, scope of work, and financial amounts into standardized contract formats
- Coordinate service scheduling between vendors, contractors, and property management team
- Handle professional email communications with tenants and vendors regarding service requests and inquiries
- Research and resolve accounts receivable inquiries using company software systems
- Provide detailed payment status updates and check information to vendors and tenants
- Follow up on outstanding payment matters and maintain accurate financial records
- Support back-end operational processes that ensure smooth property management workflows
Requirements:
- Extensive administrative experience in a professional business environment
- Strong written and verbal communication skills with attention to professional tone
- Proficiency with Microsoft Word and experience working with document templates
- Experience with accounts receivable processes or payment systems research
- Ability to work independently and manage time effectively in a remote setting
- Strong organizational skills and attention to detail for contract and financial data
- Bonus if you have property management or real estate industry experience
