Job Description: 

You’ll be the strategic right hand to senior leadership at a fast-growing professional services firm, taking ownership of critical business operations that directly impact company growth. This isn’t just administrative support—you’ll play a key role in business development, client relationship management, and executive productivity optimization. You’ll have the autonomy to manage complex projects while supporting leaders who are driving rapid expansion in the competitive food and beverage accounting space.

Responsibilities:

  • Manage executive email correspondence and implement systematic follow-up processes
  • Coordinate complex travel arrangements including flights, hotels, and detailed itineraries
  • Conduct professional lead follow-up calls with high-value prospects from industry conferences
  • Schedule strategic meetings and client appointments with external stakeholders
  • Create compelling presentations and visual materials using Excel and PowerPoint
  • Support business development initiatives and maintain client relationship databases
  • Manage executive calendars across multiple time zones and coordinate international meetings
  • Handle conference and event logistics for industry networking opportunities
  • Assist with basic marketing tasks and social media coordination
  • Implement organizational systems to track meeting outcomes and action items

Requirements:

  • 2-4 years of executive assistant experience with external client interaction
  • Excellent English communication skills with professional phone presence for client calls
  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint
  • Experience with basic graphic design and presentation creation
  • Strong organizational skills with the ability to manage multiple executives simultaneously
  • Professional demeanor for representing the organization to external clients
  • Bonus if you have experience in professional services or accounting environments
  • It helps if you’re comfortable with basic marketing tasks and social media management
