Job Description
You’ll be the operational backbone supporting a fast-growing company’s daily operations. This role combines customer interaction, administrative excellence, and system management in a flexible environment that evolves with business needs. You’ll handle diverse responsibilities from customer calls to invoice processing, making this perfect for someone who thrives in dynamic, multi-faceted roles where no two days are the same.
Responsibilities
- Handle incoming customer calls, including scheduling and basic customer service
- Process and manage invoices and financial documentation
- Update various business systems and databases with accurate information
- Manage administrative workflows and documentation
- Adapt to new tools and processes as the business systems evolve
- Monitor Slack channels for new appliance issues reported by property managers
- Manage data entry and updates in Airtable for tracking maintenance requests
- Send emails to repair technicians to check availability for service appointments
- Coordinate with property tenants to schedule repair and replacement appointments
- Communicate repair cost estimates to property managers and provide replacement recommendations
- Schedule appliance replacements using the company's custom software platform
- Document all administrative actions taken, including costs, communications, and scheduling details.
- Process incoming invoices from repair technicians via email
- Input invoice data into Airtable and create corresponding invoice records
- Conduct phone calls as needed for coordination and follow-up communications
Requirements
- Perfect spoken English with ability to understand various UK accents and regional dialects
- Proven experience in customer service and professional phone handling
- Strong administrative and organizational skills with attention to detail
- Proficiency with various software tools, databases, and business systems
- Experience with invoice processing and basic financial documentation
- Bonus if you have experience with tools like Airtable or similar database platforms
- It helps if you’re located in South Africa or similar time zones for optimal UK coverage
- You bring adaptability and comfort working with changing systems and processes
