Administrative Assistant (Solar Workflow Coordinator)

Mon–Fri, 40 hours per week. Flexible schedule with 3–4 hours daily overlap with Sydney time (GMT+11).

 

Job Description: You’ll play a crucial role in streamlining solar design processes by executing methodical, step-by-step workflows that directly support business growth. This isn’t just data entry – you’ll own important portions of design support projects, working with clear documentation and procedures while having the opportunity to suggest process improvements. You’ll work closely with the Head of Operations, taking projects to specified completion points before handoff, allowing leadership to focus on higher-value activities.

Responsibilities:

  • Execute detailed, step-by-step processes for solar design support projects following provided documentation
  • Complete assigned portions of design workflows to specified handoff points
  • Perform file management, data entry, and research tasks with precision
  • Maintain organized records and documentation of completed work
  • Learn and adapt to new tools and software as business needs evolve
  • Follow documented procedures while identifying opportunities for process improvements
  • Support various administrative functions as required
  • Collaborate directly with Head of Operations on project priorities and workflow optimization

Requirements:

  • Strong attention to detail with ability to follow step-by-step instructions precisely
  • Proficiency with Microsoft Office and Google Suite applications
  • Experience with CRM systems and various business software platforms
  • Excellent organizational and time management skills
  • Proactive mindset with ability to identify process improvements and efficiencies
  • Reliable internet connection and professional home office setup
  • Bonus if you have experience with AI-powered tools and willingness to learn new technologies
