This role operates on Perth Time (AWST). The successful candidate is expected to be available during standard business hours (8:00 AM – 4:00 PM AWST) to ensure seamless collaboration with the Client Services Team and Compliance Manager.

Position Purpose:
This role serves as the operational backbone of the Client Services team. The incumbent ensures the financial and legal integrity of participant records, managing the end-to-end administrative lifecycle from onboarding to service renewal or exits. By maintaining rigorous compliance with NDIS Pricing Arrangements, the role enables clinical teams to focus on delivering meaningful outcomes for participants.
Key Accountabilities and Responsibilities:
Working within a shared inbox environment, you will collaborate with the team to manage:

Referral Onboarding: Triage referrals and draft Service Agreements aligned with NDIS plan budgets; proactively follow up with stakeholders to secure signatures before services begin.

System Administration: Enter executed agreements into the CRM, configure budget cases, and set system alerts to ensure data integrity and funding oversight.

Financial Monitoring: Respond to shared case alerts regarding funding utilisation and plan expiries in line with internal protocols.

Quoting: Draft and distribute therapy quotes to participants and Support Coordinators for formal approval.

Lifecycle Management: Execute service renewals to ensure continuity of care and process participant exits according to internal guidelines.

Stakeholder Liaison: Serve as a key point of contact for internal and external queries, providing timely and professional administrative support.
Essential Requirements:

Meticulous attention to detail and quality control to ensure Service Agreements match referrals and related information before issuance.

Strong written and verbal English skills for clear communication via email and phone with Australian-based stakeholders.

A proactive approach to following up on unsigned agreements and service renewals until finalisation.
