Overview
We are seeking a detail-oriented Accounting Support Specialist to provide essential operational and accounting support, focusing on invoicing, transaction recording, reporting, and client follow-ups. This role is crucial for maintaining accurate financial records, supporting cash flow, and assisting with vendor and account management, including oversight of the company’s Home Depot account.
Job Highlights
Number of Paid Hours Per Week: 40 hours
Schedule: Monday to Friday, 9:00 AM – 6:00 PM EST (with 1-hour unpaid break)

Responsibilities
Invoicing & Accounts Receivable
-
Prepare and send client invoices for completed work accurately and on time

Ensure all invoices are properly documented and recorded

Maintain organized invoice records
Transaction Recording
-
Record financial transactions accurately in QuickBooks
-
Ensure consistency and accuracy between source documents and system entries
-
Maintain clean and organized accounting records
Reporting & Monitoring
-
Track invoicing status and aging reports
-
Monitor invoices at 30-day and 45-day aging intervals
-
Prepare regular invoicing and aging status reports for management
Client Follow-Up & Collections Support

Follow up with clients via email on invoices reaching 30 days or more

Maintain professional, clear, and consistent communication with clients

Document all follow-up activity and responses
Home Depot Account Support

Support the management of the company’s Home Depot account

Review and scrub purchases made by cardholders
-
Identify and flag unapproved or unauthorized purchases
-
Ensure compliance with internal purchasing policies
-
Maintain documentation and reporting on account activity
Administrative & Accounting Support

Provide general accounting and administrative support as needed

Assist with process improvements and documentation

Support internal controls and compliance procedures
Requirements
Required Qualifications

Experience with QuickBooks (Online or Desktop)

Basic understanding of accounting principles (invoicing, AR, transaction recording)

Strong attention to detail and accuracy

Preferred Qualifications

Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates, and the rate depends on your performance in the application process.
