Executive Assistant (Nonprofit Operations)

Schedule: 20 hours per week, Mon-Fri, 2pm to 6pm EST

Position Overview
This role blends executive assistant and personal assistant responsibilities, offering vital support to both operations and the Executive Director’s day-to-day needs. The ideal candidate will have strong organizational skills, a proactive attitude, and the ability to manage essential administrative tasks efficiently within a limited weekly schedule.
 
Key Responsibilities
  • Email and Correspondence
    • Monitor and organize the Executive Director’s inbox daily, ensuring timely responses to key emails and flagging important messages.
    • Draft, proofread, and send routine communications, including basic correspondence and appointment confirmations.
  • Calendar Management:
    • Manage the Executive Director’s calendar, scheduling meetings, appointments, and personal engagements.
    • Ensure there are no scheduling conflicts, prepare engagement or support documents and provide reminders for upcoming commitments.
  • Travel Coordination:
    • Arrange travel logistics such as booking flights, hotels, and transportation for work-related trips or personal travel as needed.
    • Prepare itineraries and ensure all travel details are well-documented.
    • Manage expenses, honoraria and engagement contracts as needed or directed.
  • General Administrative Support:
    • Assist with basic office tasks, digital filing, organizing documents, and maintaining records relevant to Commonsense Childbirth.
    • Assist with responses to social media/ website inquiries; phone interaction as needed, and online communications, media inquiries and requests.
    • Provide light personal assistance as needed, helping the Executive Director stay organized and focused.
Qualifications
  • Proven experience as a personal or executive assistant, ideally in a nonprofit or healthcare setting
  • Excellent organizational and time-management skills
  • Strong communication skills, both written and verbal
  • Familiarity with Google Workspace (Gmail, Calendar, Docs) and basic office and productivity software.
  • Previous experience supporting a senior leader or executive.
  • An understanding of or interest in maternal and child health or the nonprofit sector
  • Ability to handle confidential information with discretion.
